Job Summary
The Production Coordinator is a hands-on member of the Production team, supporting the physical build and creative setup of Public Disco’s events from warehouse to site. Reporting to the Production Manager and working closely with the Set Lead and Production Lead, this role is equal parts logistics and labour, prepping supplies, painting, organizing gear, dressing the site, and supporting teardown with care.
This is a role for someone who finds satisfaction in the physical work of making spaces come alive: someone who notices when something needs a touch-up, enjoys working with their hands, and wants to be part of bringing a vision to life from the ground up.
The position provides structured training in event production and operations, with mentorship from the Production Manager and Leads throughout the season. The role starts as a 2-month full-time position, with the potential to continue through the end of summer on a part-time and project-by-project basis.
Key Responsibilities
Warehouse & Pre-Event Preparation
Prep supplies and equipment in the warehouse before events: painting, cleaning, organizing, restocking, and quality-checking.
Maintain production supply inventories and track equipment using digital record-keeping systems.
Event Setup, Operations & Teardown
Support setup and teardown of event infrastructure including tents, fencing, décor, signage, and site dressing.
Support the Set Lead with creative site dressing with plants, bunting, table treatments, lighting accents, and other experiential elements that shape the look and feel of the event.
Assist the Production Lead and Production Manager with logistics, errands, and last-minute operational needs on event days.
Support volunteer coordination on event days, helping with onboarding, task assignment, and keeping crew moving during setup and teardown.
Represent Public Disco professionally during interactions with community partners, suppliers, and guests.
Planning & Coordination
Coordinate with suppliers (tents, fencing, décor, signage, hospitality partners) to ensure timely delivery and organized onsite operations.
Support volunteer scheduling ahead of events, confirming availability, assigning shifts, and communicating logistics in advance.
Contribute to production schedules, load-in plans, and event documentation.
Maintain communication with staff, volunteers, and partners.
Support creative event design, décor placement, placemaking elements, and accessibility considerations.
What You Bring
You enjoy hands-on physical work — painting, building, organizing, carrying, and touching things up.
Comfortable working in a warehouse or prep environment as well as onsite at events.
Attention to detail when it comes to how spaces look and feel.
Interest in event production, logistics, placemaking, hospitality, or community arts.
Experience with hands-on event work is an asset but not required.
Comfort using Google Workspace; willingness to learn Monday.com and simple digital tools.
Strong interpersonal and collaborative skills.
Comfort working alongside volunteers and casual crew; ability to communicate tasks clearly, coordinate schedules, and keep people on track.
Ability to problem-solve in fast-moving environments.
Ability to work evening/weekend shifts.

About this role
Public Disco Society is a Vancouver-based nonprofit dedicated to underground electronic music culture, the spaces, the artists, the community, and the people who make it all happen. We're growing every year, and we're looking for younger collaborators who want to grow with us. This position is funded in part through the Canada Summer Jobs Program and is open to applicants who are under 30 years of age and legally authorized to work in Canada.
The Marketing Coordinator works closely with our Executive Director, Marketing Manager and a core team across digital marketing, event curation, partnerships, and administration. The role starts as a 2-month full-time position, with the potential to continue through the end of summer on a part-time and project-by-project basis. Depending on your skills, interests, and where you show up strongest, your responsibilities may shift to reflect what you do best. We'll shape parts of this role around you.
This isn't just a marketing job, it's a role inside a music and culture organization. We need someone who genuinely gets underground electronic music: the history, the aesthetics, the community values, and what makes content in this space feel authentic.
Key Responsibilities
TikTok & content creation
Lead the launch and ongoing development of Public Disco's TikTok presence. This is a priority area and a chance to build something from the ground up.
Create authentic, culture-rooted short-form video content that reflects who we are and what we represent.
Experiment with formats, trends, and storytelling styles suited to the underground dance music community.
Track what's working and bring insights back to the team.
Social media & communications
Assist with social media planning, scheduling, caption writing, and community engagement across Instagram and Facebook.
Track social media and web analytics for grant reporting, audience development, and program evaluation.
Provide customer service through DMs, email inquiries, and event-day attendee communication.
Assist with ticketing administration, guest lists, and audience messaging.
Event support
Support onsite marketing coverage, capturing photos and video on your phone, posting on stories, tagging sponsors, gathering quotes, documenting event activity.
Help with general event support including guest services and information points.
Participate in setup and teardown to understand how events come together end to end.
Organizational & administrative support
Assist with inbox management, digital file organization, and contact list updates.
Maintain content calendars, marketing schedules, and asset libraries.
Support sponsorship and partner administration by organizing brand assets and tracking deliverables.
Collaboration
Attend planning meetings and contribute ideas across marketing, audience engagement, and event strategy.
Work closely with the Executive Director, Programming Manager, and Marketing Lead on day-to-day operations.
What You Bring
Genuine connection to underground electronic music culture. It’s ok if you are just getting to know it, but we want someone that is interested in knowing more, and authentically representing it through our marketing efforts.
Interest in digital marketing, content creation, cultural events, or community-focused work.
Comfort with Google Docs and Sheets; willingness to learn tools like Canva, Monday.com, and basic AI tools.
Strong writing, communication, and organizational skills.
Ability to work both independently and as part of a small, close-knit team.
Willingness to work some evenings and weekends for events.
